Effective Date: October 25, 2025
At Project 1903, we're just getting started—and we want to be upfront about how we handle your data. This policy explains what we collect, why we collect it, and how we keep it safe. We'll keep things simple and honest.
The Short Version: We collect only what we need to make Logbook work. We don't sell your data. We don't use tracking cookies. Your aircraft maintenance records are yours, and we take their security seriously.
When you create an account, we collect basic information like your name, email address, and authentication credentials. This helps us keep your account secure and lets you access your logbooks across devices.
You create and store aircraft information, maintenance entries, flight logs, and related documents. This is the core of what Logbook does—keeping your maintenance records organized and accessible.
We collect basic information about how you use the app (like which features you access and when) to help us improve Logbook and fix bugs. We don't track your browsing habits across other websites or apps.
We may collect information about the device you're using (like your operating system and app version) to ensure Logbook works properly on your device.
We use your information to:
We do not sell, rent, or share your personal information with third parties for their marketing purposes. Period.
We're building Logbook to be the best aircraft maintenance tool out there, and your usage helps us get there. Here's how we use your data to make the product better:
We analyze how people use Logbook—which features are popular, where users get stuck, what causes errors—so we can fix bugs, streamline workflows, and build features that actually solve problems. This includes looking at aggregated, anonymized usage patterns across all users.
Your data helps us build better tools for the entire aviation community. We may analyze maintenance patterns, common issues, and usage trends to develop features like smarter recommendations, predictive insights, and industry benchmarks. For example, understanding how different aircraft types are maintained over time helps us build features that anticipate your needs and help you stay ahead of potential issues.
This analysis is typically done using aggregated, de-identified data—looking at patterns across many users rather than scrutinizing individual logbooks. When we do need to analyze specific data (like improving OCR accuracy or developing new features), we treat it with care and respect for your privacy.
Sometimes we'll test new features or variations with a subset of users to see what works best before rolling them out to everyone. You might see beta features or A/B tests as we experiment with improvements.
We're always looking for ways to make Logbook more valuable for pilots, mechanics, and aircraft owners. Your data helps us do that—whether it's catching bugs faster, building smarter features, or creating tools that benefit the whole community. We'll always balance innovation with respect for your privacy.
And of course, if legal or regulatory requirements compel us to use or disclose data in specific ways, we'll comply with those obligations while doing our best to protect your interests.
If you ever have concerns about how we're using data for product development, just reach out. We're happy to explain our approach.
Important: When you use the OCR feature to scan logbook entries, we send those images to a third-party AI service (currently Anthropic) to perform optical character recognition and data extraction.
Here's what you need to know:
If you prefer not to use OCR, you can always enter maintenance records manually—Logbook works great either way.
Your data is stored on secure cloud servers operated by reputable cloud service providers, which may include Amazon Web Services (AWS), Google Cloud Platform (GCP), DigitalOcean, or similar providers.
These providers maintain industry-standard security measures, including:
While we use these providers' infrastructure, your data remains under our control and is subject to this privacy policy—not theirs.
Good news: we're not using tracking cookies to follow you around the internet.
We do use essential cookies and similar technologies that are necessary for the app to function (like keeping you logged in), but we don't use advertising cookies or third-party tracking scripts.
Your private aircraft records remain private. However, when you share content with other users or within groups (such as shared maintenance records, documents, or communications), we reserve the right to review that shared content to:
We don't routinely monitor private content, but we may review shared content if it's reported by other users, flagged by automated systems, or if we have reason to believe it violates our policies. We take this responsibility seriously and respect the professional nature of our aviation community.
We don't share your personal information with third parties, except in these limited circumstances:
You have control over your data. Here's what you can do:
If you're in the European Union, California, or another jurisdiction with specific privacy laws, you may have additional rights. Contact us to exercise those rights.
We keep your data for as long as your account is active, or as needed to provide you with services. If you delete your account, we'll delete your personal information and logbook data within 90 days, except where we're required to retain it for legal or regulatory purposes.
Backup copies may persist for a short period, but they're not accessible and will be automatically deleted according to our backup retention schedule.
We take security seriously. Here's how we protect your data:
No system is 100% secure, but we're committed to protecting your information and will notify you promptly if we detect any security breach that affects your data.
Logbook is not intended for children under 13. We don't knowingly collect personal information from children under 13. If you're a parent and believe your child has provided us with personal information, please contact us and we'll delete it.
Logbook is operated from the United States. If you're accessing the service from outside the U.S., your information may be transferred to, stored, and processed in the United States or other countries where our service providers operate.
By using Logbook, you consent to this transfer. We'll take appropriate safeguards to ensure your data receives adequate protection.
We're a young company, and things change. We may update this privacy policy from time to time as we add new features or comply with new regulations.
When we make changes, we'll:
Your continued use of Logbook after changes take effect means you accept the updated policy.

Our Promise: We built Logbook because we're pilots and mechanics who were tired of paper logbooks. We treat your data the way we'd want our own data treated—with respect, security, and transparency. Thanks for trusting us with your aircraft records.
